Policy:  Member Exit Interviews

  

Purpose

  • To comply with the covenant with the Saint John Ministerial Association regarding membership transfer.

  • To ensure proper closure for people leaving the Parish.

  • To identify any areas for improvement.

  • To communicate to all members of St. James the Less the process for conducting member exit interviews.

 

Scope

  • Applies to all Pastoral Staff and Members of St. James the Less

 

Policy Statement

  • In order to achieve the purposes outlined above member exit interviews will be conducted in a professional and timely manner when it is recognized that a member may no longer be attending St. James the Less.

Reasons Members Leave

  • Members may leave the Church for various reasons including:

    • Relocation

    • Change in hours of work/employment

    • Sickness

    • A Negative experience

    • Personal Preferences

Timely Interviews

  • It is important to give members the opportunity to participate in an exit interview as soon as possible,  but at a maximum, within 21 days of the recognition of their departure.

Determining  when members  have left

  • The following situations may indicate that a member is no longer attending St. James the Less

    • The member speaks directly with the Rector.

    • The member speaks to another member.

    • The member is absent for a period of more than 4 weeks.

    • There is evidence that the member is attending another Church.

     

  • Except for in the situation where the member speaks directly with the Rector, it is necessary in all other situations to verify that the member is no longer attending.   Contact will be made by the Rector or his/her designate to determine if an exit interview is necessary.

Conducting Exit Interviews

  • At St James the Less Exit Interviews are informal and designed to meet the needs of the individual member and circumstances surrounding their departure.  All exit interview however should address the following:

    • the reason for departure

    • any outstanding relational/doctrinal or practice issues

    • reconciliation if at all possible

    • prayer of blessing and release
